Privacy Policy

Welcome


Hello and welcome!


My name is Nadene Parker and I am The Heart Centred Therapist.


The purpose of this page is to provide information about confidentiality and privacy. There will also be information regarding services, fees, and how to provide feedback.

Services, Fee and Payment Information 


Sessions are held in-person, online or via phone. In-person sessions occur at The Bolands Centre: 14 Spence Street, Cairns City.

Standard one-on-one counselling sessions go for approximately 50 minutes and cost $185.00.


For clients with a Mental Health Care Plan from their GP, the rebate is $85.20, making the out-of-pocket expense $99.80.


Payment is required upon completion of the appointment and can be made via direct deposit or debit/credit card. For in-person appointments, payment can also be made in cash if the exact amount is provided, as no change is kept on premises.


The first session will focus on getting to know one another and your reasons for attending counselling. We will identify your goals and create a plan to address them collaboratively.


I am a registered provider with WorkCover QLD and Victims Services NSW. If you are receiving support from either of these agencies, please let me know, as sessions may be fully or partially covered.

If you have private health insurance, you may be eligible for a rebate—please check with your provider.


There may be times when a therapist and client are not the best match. If I feel that I am not the right fit, I will have an open discussion with you and recommend alternative services.

Cancellation Policy 


Where possible, please provide at least 24 hours' notice if you need to cancel or reschedule an appointment so the spot is then made available for someone else. 

The Heart Centred Therapist understands that things can arise outside of our control, but in cases where two consecutive appointments are cancelled or rescheduled with less than 24 hours’ notice, or in the event of a no-show, a 50% cancellation fee may apply.

A reminder text and email will be sent a day prior to your appointment. Please respond either confirming or cancelling your appointment.

  • If you booked an appointment through the online booking portal, you have      the option 24 hours before your appointment to cancel or reschedule through the client portal.

Confidentiality


All information gathered and everything discussed will remain confidential unless one of the following circumstances applies:


  • You've given consent to share information: If this is the case, there is a separate consent form you will sign specifying who the information is being shared with and what information you're consenting to share. 
  • There are concerns for your safety or the safety of someone else. Your      emergency contact may be called if necessary.
  • If information is subpoenaed by a court. 
  • Mandatory reporting requirements: In QLD, all adults must report to the police any information they have regarding sexual abuse towards someone 16 and under or under 18 if they have a mental impairment. 
  • Information sharing legislation: Under the Child Protection Act, 1999 and the      Domestic Violence Protection Act, 2012, information can be shared with either of these entities without consent to help assess or mitigate risk. 


If you’re counselling is funded through Victims Services NSW, a report including the number of sessions, presenting issues, goals, interventions, outcomes, and recommendations will be submitted at the end of service provision.

If funded by WorkCover QLD, a final report will be submitted including clinical progress, interventions used, current mental health status, and work capacity.

If you were referred by your GP on a Mental Health Care Plan, then a report including number of sessions, presenting concerns, treatment provided, outcomes, risk status, and recommendations will be submitted to your GP at the end of service provision. 

  

Confidentiality with Young People (16–17 years) 


If you are 16 or 17 years old and assessed as capable of giving informed consent, you may access therapy independently. Confidentiality applies as outlined above. If significant concerns arise about your safety or well-being, I may need to involve a parent, guardian, or trusted adult—but will discuss this with you beforehand where possible.


Collection of Information


As part of providing a service to you, I will need to collect and record some personal and sensitive information. This information helps tailor support to your specific needs and circumstances. This includes:

  • Personal information: Name, date of birth, contact details, emergency contact
  • Sensitive personal information: (e.g. mental health, medical history,      cultural identity)
  • Information shared comes from: the booking platform, forms, phone/SMS/email      communication, referrals, and sessions


All information is stored securely and in compliance with the Privacy Act 1988. No one else has access to this information unless exceptions to confidentiality apply. Records are kept for 7 years after your last contact if you are over 18. If you are under 18, records are kept until your 25th birthday.


Emergency Contact Information 


All clients will be asked to provide an emergency contact. This information will only be used if there are serious concerns for your well-being and only when necessary to ensure your safety.

  

Technology Use  


SMS and email may be used for appointment-related communication. These methods are not encrypted, and you are encouraged to avoid sharing sensitive information through them. 


Access to Client Information


Under the Freedom of Information Act 1982, if wishing to access your information, please make a request in writing stating what information you need, along with some identification and submit the request to The Heart Centred Therapist: theheartcentredtherapist@theheartcentredtherapist.com

If you have any issues with the service I have provided, I please ask that you make contact with me first, to give me the opportunity to address your concerns.
